How to Set Up Appointment Reminders with GoHighLevel SMS Automation

Missed appointments don’t just waste time, they cost you revenue.

Whether you’re a coach, agency, or service-based business, even one no-show can throw off your schedule and slow your growth.

How to Set Up Appointment Reminders with GoHighLevel SMS Automation

The good news? With GoHighLevel, you can set up automated SMS appointment reminders that drastically reduce no-shows, without lifting a finger.

In this guide, I’ll show you how to set up simple but powerful SMS automations to remind clients of their upcoming appointments.

Why Use SMS Appointment Reminders?

✅ Higher Open Rates: SMS open rates average 98%, compared to 20% for email.

✅ Faster Delivery: Messages arrive instantly, right to the phone.

✅ Better Attendance: Most clients appreciate reminders and are more likely to show up.

✅ Less Manual Work: Set it once, and let automation handle the rest.

What You’ll Need:
  • A GoHighLevel account

  • An integrated calendar (inside GHL)

  • A Twilio or LeadConnector number connected to your GHL account

  • A basic understanding of the Automation builder

Step 1: Create or Connect Your Calendar
  1. Go to Settings > Calendars

  2. Create a new calendar or edit an existing one

  3. Ensure it’s linked to your availability, appointment types, and confirmation settings

Step 2: Build Your SMS Reminder Workflow
  1. Navigate to Automations > Create Workflow

  2. Choose Trigger: “Appointment Scheduled”

  3. Add action steps:

  • Wait 24 hours before the appointment

  • Send SMS: “Hey [First Name], just a reminder you have a call with us tomorrow at [Time]. Let us know if you need to reschedule.”

  • Add another Wait step (e.g., 1 hour before the appointment)

  • Send SMS #2: “Hi [First Name], your appointment is in 1 hour. We’re excited to meet with you!”

Optional:

  • Add email reminders alongside SMS

  • Add a notification to your team when the appointment is confirmed

SMS Best Practices

📌 Keep it short, friendly, and clear

📌 Use personalization (e.g., contact name, time slot)

📌 Avoid over-messaging (1–2 reminders are enough)

📌 Always include a way to reschedule or reply

Missed Appointment Follow-Up

If someone misses their appointment, you can build a follow-up workflow that sends a message like: “We missed you on our scheduled call. Would you like to reschedule here? [insert booking link]”

This small touch can recover lost opportunities.

Automated SMS reminders can transform your client communication and scheduling.

They reduce no-shows, save your team time, and make you look more professional and reliable.

With GoHighLevel, setting them up is simple, and it pays off fast.
